Volunteering for Excel Pickleball Tournaments

When you volunteer for Excel, we do our best to keep you busy because nobody likes to volunteer when there is a lot of down time.  When you volunteer, you’ll meet lots of new people, make new friends, see some of your pickleball buddies, and watch some great matches.  There is always plenty of food to eat, and most of all, it’s fun being an essential part of the Las Vegas pickleball community.

Each tournament, we enlist the help of volunteers like you to ensure that we deliver the best possible player experience, and every volunteer is an integral part of making this happen. Whether it’s for player check-in, snack patrol, runner, player hospitality, award presentation, or court monitoring, volunteers with a smile on their face and helpful attitudes make everything run smoothly. We, like other sporting events throughout the country, couldn’t do what we do without the help and dedication of our volunteers.

Based on your level of interest and experience, we offer different positions for our volunteers. Of course, many of these roles may be combined, based on the needs of the day.

Player Check-in

As players arrive each day, we ask that they check in at the front of the facility so we can verify they are present and ready to play. Check-in volunteers are at the entrance with a tablet connected to our Wi-Fi. They will look up the players and check them in for the day. Once checked in, they will direct the players to the Bracket Board where matches for the day are listed. Depending on the tournament schedules, there may be several start times throughout the day.

Our tournament registration fee includes a T-shirt.  These shirts, along with tournament pins, are handed out to the players from a central location where players can access the hospitality area anytime during the tournament. Volunteers greet, help players select correct shirt sizes, answer questions, and give directions to a player if needed.

At the end of each match, score sheets are ready to be taken from the court monitor table to the Tournament office, where the information will be entered into the software that helps us keep track of play. Our volunteers will continuously make the rounds between all the monitor tables to ensure the score sheets are delivered to the office in a timely manner. As the play turns to Playoffs and Medal rounds, the intensity for a quick turn-around increases. If you are keeping track of your steps for the day, this is definitely the job for you!

It’s not always easy for players to plan their meals for the day when playing in a tournament. As an added service to our players, we provide premium snacks and water throughout the day. From the time play starts, until it ends each day, volunteers make sure the snack baskets are never empty and there is always water to drink.

Players have played their hearts out all day and, for the lucky few, they will be called to the awards podium to collect their medals for their efforts. Although, many will confess it’s the ice cream they really want! Volunteering for this area, like Disneyland, is the happiest place on earth! This is where the players get recognized for their outstanding play, are presented with their medals, get their photo taken, and finally, given the long awaited Ice cream. Award presentation volunteers may first prepare the medals for the day, then have the pleasure to congratulate the players, present the medals, take the pictures, and hand out the coveted ice cream to those lucky winners.

Our tournament format is Round Robin with Playoffs, and medal rounds. Court monitors are assigned groups of players that will be playing on predetermined courts where the matches will be played.  Court monitors are our most valuable volunteers. Court monitors are responsible for verifying all players in each bracket are present, conduct a pre-match briefing with the players, manage the pace of play, record the match scores, keep a record of match results, and answers questions from the players. This role is very important and is the core of our tournaments and comes with the highest responsibility. Volunteer Court Monitors receive the most training, experience the most interaction with players, and see the most pickleball of all the other roles, combined. This is the most challenging position and comes with the most satisfaction of a job well done!
